Background
Our client, a mid-sized company in a time-sensitive industry, struggled with an inefficient, paper-based timesheet process. Employees would fill in paper timesheets, which were then scanned and sent to a dedicated mailbox for the payroll team. The payroll team had the tedious task of reading, renaming, and moving these scanned timesheets to a specific area on their SharePoint. This outdated and labor-intensive process was ripe for a modern, automated solution.
Problem
The paper-based timesheet process was time-consuming, error-prone, and inefficient. It required manual handling of every timesheet by the payroll team. This not only wasted valuable time, but it also created a bottleneck, as the payroll process could not proceed until each timesheet was properly processed. This antiquated process cost each payroll team member an average of 8 hours per week – time that could be better spent on more valuable tasks.
Solution
We introduced an electronic timesheet system paired with an automation solution. This digitized process allowed employees to complete their timesheets electronically. Once completed, the system automatically generated a PDF of the timesheet. This PDF, automatically named and tagged with the necessary details, was then sent to the same payroll mailbox as before.
In the next step, we implemented a solution that automatically detached the incoming PDF from the mailbox and saved it in the correct area on the company's SharePoint. This automated process ensured that the timesheets reached their destination promptly and accurately, without the need for human intervention.
