Replacing Spreadsheets with a Proper HR Platform

Client Context

A rapidly growing national care group recruiting specialist support workers across England. The organisation was expanding its client base, opening new service areas, and building the largest recruitment team in its history. Compliance onboarding (DBS checks, right-to-work verification, references, and mandatory training) is a regulatory requirement for every hire under CQC Regulation 19 and Schedule 3.

The Challenge

The care group was hiring at pace, but the systems behind that growth hadn't kept up. Recruitment ran on spreadsheets. Compliance chasing happened through individual emails and phone calls. There was no single view of where a candidate sat in the pipeline, what documents were outstanding, or how long the onboarding process was taking.

In care, compliance isn't optional. Every support worker needs verified right-to-work documentation, DBS clearance, proof of identity, mandatory training modules, and references before they can be assigned to a client. Delays in this process mean delays in getting carers to the people who need them.

Internal communication was another gap. With care workers spread across the country and rarely visiting an office, keeping everyone informed about policy changes, training requirements, and company updates was a constant challenge. The organisation had tried Facebook Workplace but had recently closed the channel, leaving no consistent way to reach frontline staff.

The Solution

We scoped, planned, and deployed BambooHR as the organisation's central HR platform, creating a single system to manage recruitment, compliance, and employee records from application through to exit.

The deployment included automated compliance workflows. When a new hire enters the system, BambooHR tracks every outstanding item (proof of ID, proof of address, DBS certificates, training completion) and sends templated communications at defined intervals. Compliance officers can see at a glance who needs what and when. Candidates receive clear, professional messages telling them exactly what's required to get them working. No more chasing by email, no more items falling through the cracks.

We also developed a communication strategy, using BambooHR's email automation for policy updates and compliance reminders, with proposals for broader channels including WhatsApp and SMS to reach care workers who don't regularly check email.

The Results

Compliance onboarding went from a manual, spreadsheet-driven process to an automated, trackable workflow. Compliance officers have a clear dashboard for every candidate. The time from application to first shift has been meaningfully reduced, getting care workers to the people who need them faster.

The care group now has a single platform for recruitment, compliance, and employee records. When the next phase of growth comes, the system is already in place to support it.
